Privacy Policy
This policy explains how UniCentre handles personal information in its election management system.
Information we process
We process information needed to provide and operate the system. This may include your name, email address, phone number, account and role details, and information added to the system, such as events, locations, coordinators, polling-station information, and related operational records.
For users assigned the Call Center role, the app requires Call Log permission on their company-issued phone. We process call-log information, including call date and time, direction, status, duration, and callback activity, to measure calls made, answered, rejected, missed, and returned.
How we use information
We use information to authenticate users, provide requested features, administer accounts, show election-management information, maintain security, communicate about the system, and improve its reliability. For Call Center users, we use call-log information for call-center operations, reporting, quality oversight, and managing follow-ups and callbacks. Access is limited to authorised users and service providers who need it for these purposes.
Call Center monitoring
Call Center users use company-issued phones and, before receiving access, sign a contract that gives the company the right to monitor their call logs for work-related purposes, as permitted by applicable law. Call-log monitoring is limited to authorised Call Center users and is a condition of using Call Center features.
Optional calendar access
If you choose to connect a Google account, you may grant calendar permission so that system events can sync with your personal Google Calendar. Calendar access is optional: the system works without it, and we do not request it unless you start the connection yourself.
We store the connection information required to keep the sync working, including an encrypted refresh token. We use calendar data only to provide the calendar-sync feature; we do not use it for advertising.
When information is shared
We may share information with the organisation that provides your access, authorised administrators, and trusted service providers that help operate the system. We may also disclose information where required by law or when reasonably necessary to protect users, the system, or the public. We do not sell personal information.
Retention and security
We retain information for as long as needed for the purposes described here, to meet legal obligations, or as directed by the organisation that controls the account. We use reasonable technical and organisational safeguards, but no online system can guarantee absolute security.
Your choices
You can update certain account information through the system, ask your administrator about access or correction requests, and disconnect optional calendar access at any time. To raise a privacy concern, contact the organisation that provided your access.
Changes to this policy
We may update this policy when the system or applicable requirements change. The updated version will be posted here with a new effective date.
